Jersey Numbers

Season-Ending Tournament Info

This information was emailed to all coordinators on 1/9.  Please note that all 3rd-12th grade teams are automatically entered into our season-ending tournament unless we are notified by February 1st that they do not want to play.  This is a single elimination tournament and teams are assigned to brackets based on record across all pods.

7th-12th Tournament

  1. takes place Thu, Feb 15 - Sun, Feb 18
  2. most games will take place on Saturday and Sunday, but brackets with more than 8 teams will have a few first round games on Thursday or Friday
  3. only organizations that have 7th-12th teams will host games unless you specifically ask to host
  4. we will schedule games around 2nd-6th grade games taking place that weekend
  5. if you have a team that does NOT want to play in the tournament, please let us know by February 1st
  6. teams will be assigned to brackets and seeded after week 8 (February 4th) games
  7. the final schedule and brackets for this tournament will be released by February 7th

Moving Teams Over the Break

Coordinators and Coaches,

Over the 2 week winter break, we will be evaluating teams to see if they should be moved up or down a level depending on their performance in the first three weeks of the season.  During this time all game change notifications will be turned off so all coaches and coordinators should check their schedules once we turn them back on and are finished with our work (an email will be sent out and the front page of the web site will be updated when this happens.)

Please note the following criteria we follow when moving teams and know that this only happens to a handful of teams.

  1. We only consider moving teams that are dominating or being dominated.  We also take into consideration the quality of competition they have played.
  2. In order to move a team up, there needs to be a team to move down in that same age group.  (e.g. if a team needs to move from athletic C to athletic B, there needs to be an athletic B team that should be moved down to athletic C).  We do this to minimize the amount of schedule changes for teams playing the teams moving.
  3. We cannot move a team from a 20 game schedule to a 10 game schedule or visa versa.
  4. If we are unable to move teams up or down that probably need to be, we will look at their opponents and try to get them more games against opponents that are in the bottom half of the standings.
  5. We have a limited amount of time to make these changes as we also will be spending time with our families during the holiday break, therefore, we will concentrate our efforts on 3rd-6th grade divisions.

Spring Developmental and Team League Options

3/6 Update:  We will not have enough teams for the Spring Team League.  The Spring D (Developmental) League is almost full.  Please register today to reserve your spot!

We are pleased to announce TWO spring league options for 3rd-6th grade CPYBL players of all abilities.  Back by popular demand is our Spring D (Developmental) League.  This league is a combo skill training/team play league where kids will receive high quality instruction from experienced Midwest Basketball Trainers and get to try out their new skills in 3v3, 4v4, and 5v5 games.  Our second spring option is our spring team league (similar to our winter league) where teams will get 10 games in 5 weeks.  This league allows teams from our winter league to stay together as a team, combine teams, or register as individuals and be placed on a team.  All spring leagues will take place at facilities in the centrally-located Sycamore School District on new constructed or re-surfaced courts.  Read more below and we hope to see you this spring!

Spring Developmental League

Amerileagues is pleased to announce a partnership with Midwest Basketball Club who will provide expert training in our new Developmental League (D-League). This new spring league is designed for those that want to elevate their game to the next level! We offer elite training from Midwest Basketball instructors.

Roster Non-Compliance

An email was sent this morning (1/30) informing coordinators that any team with missing jersey numbers on the team roster on this website after 5pm Friday Feb 3 will not be eligible to participate in the post season tournament. These were due on December 3rd and there simply is no excuse to not have them at this point. Only coordinators are able to edit rosters at this point in the season to fix these issues. If you are a coach and see that your roster is missing jersey numbers, please contact your coordinator.

3rd-6th Grade Tournament Preliminary Gym Schedule

The 3rd-6th grade tournament is fast approaching and we have put together a list of preliminary site assignments for the tournament.  These will be emailed to all organizations on 2/10.  Games were scheduled.

Please note that when a time is listed such as 12pm-6, that means the first game starts at 12pm and the last game starts at 5pm, meaning that we hope the last game ends by 6pm.  If you are hosting championship games (as denoted in the last column), medal pickup will be on Thursday, February 15th at Evendale Recreation Center from 7pm-8pm.  PLEASE make arrangements for someone in your organization to pickup medals that evening.

CPYBL Preseason Shootout

A few changes have been made since schedule release on Sunday.  Please double check your pool schedule before the weekend.You can view the schedule for individual teams by clicking the Schedule button below OR look at the schedule for an entire gym by  going to the Schedule menu on the top of the web site.  Teams will play 3 round robin games this weekend (please note in pools with an uneven number of teams, one team will play 4 games).  Remember this is a scrimmage, scores are not reported, and prizes are not awarded.  This is an opportunity to get some work in before the season starts.  If you don't see your team, listed, please let us know.

Due to issues we had last year with no shows, any team that does not show for a Preseason Tournament game will not be eligible to play in the Postseason Tournament.

Please read below reminders about the Preseason Shootout as well as playing rules:

  1. $60 fee payable to the league includes 3 games.  We are asking that coaches pay referees fees of $35 a game this year directly to the referees before the game (each coach pays one referee).

  4. NO SCORE REPORTING

Holiday Tournament

We will be hosting a Holiday Tournament again this year. This tournament will take place from December 27th through December 29th at Elite Athletic Sports Complex. This tournament is open to all 3rd-6th grade boys and girls teams.  Click the links below for more information about the tournament, the registration form, and payment links.  You must register AND pay for your team to be scheduled in the tournament.  Please note that you will be redirected to the payment form at the end of registration.

Registration Update

The registration period is now closed for 2nd-6th grade teams. 7th-12th grade teams can continue to be registered until November 15th. Please read the following updates about division specific issues we are working through:

  1. We will be able to support teams that registered for the 20 game high rec option for the following divisions:  5th, and 6th boys and 6th girls.
  2. We will NOT be able to support a 4th grade boys high-rec division or a 5th grade girls high-rec division due to lack of teams registering for that option.  All coordinators involved were emailed directly on 10/26 with options.
  3. Athletic divisions that only have 7 teams will play a 18 game schedule (3rd girls and 4th girls athletic A).  We emailed all coordinators asking if they have one team to add to these divisions but did not receive a response.
  4. All teams will be approved and assigned to pods (for rec teams) by end of day Monday.  They can then be reviewed on the Standings page.  When a team is approved, an account will be created for the coach (if an email was supplied by the organization), and the coach will receive an email from the web site with instructions on how to claim their account (if a new account).  The online Coach Code of Conduct can then be completed by each coach.
  5. The league will begin the scheduling process on Tuesday and have a schedule available for coordinator review on November 18th.  The final schedule will be released on the web site on November 27th.

Waivers and Compliance

This is a reminder that in order for organizations, coaches (head coaches only!), and players to participate in the CPYBL, the league needs to be in possession of online documents that need to be filled out once per school year before games begin.  Coordinators and Coaches must be logged into their account to access these forms.  All coordinators are well aware of these requirements, there is no communication between the league and the 10,000 parents associated with it.  We communicate to our member organizations and it is their responsibility to communicate to their coaches and parents.

There is a matching process that takes place between waivers and rosters based on the last name and birth date of the player.  In some cases, the member organization has the incorrect birth date on the roster and it is the responsibility of the member organization to fix this.  If you are a parent and have correctly filled out your liability waiver, there is no need to fill out 5 others.  Have your member organization check the roster.

Organizations/Coordinators:  An Organization Agreement form must be filled out (one per organization).  This is available from the Portals->Coordinator menu.

Coaches: Head coaches (not assistants) must fill out an online Code of Conduct form which is available from the Portals-Coach menu.  Coaches must be logged into their coach account to access form.  Coach accounts are not created until the team registration period is over.

Players: Parents must filled out a Liability Waiver Form once per school year.  Without this form, your player is ineligible to play in our league and any team that has a rostered player that does not have a liability waiver completed by Wednesday, December 4th at 5pm will result in a forfeiture of their games for the upcoming weekend.

Game Reschedules

Coaches should not reschedule their games, this is a job for coordinators who will work with their coaches.  When a game is postponed, both coaches will receive an email from the league based on the email your coordinator used to register your team.  If you did not receive an email when a game was postponed or cancelled, please check your junk or spam mail folder or confirm the league has your correct email address.

Postponing

  1. Games will be postponed due to illness, school event, or gym closure.  PLEASE DO NOT EMAIL THE LEAGUE REQUESTING A RESCHEDULE BECAUSE PARENTS ARE CHOOSING TO TRAVEL OR CHOOSING TO PLAY IN A VOLLEYBALL TOURNAMENT, etc ...
  2. Coordinators should contact the league as soon as they are aware of a legitimate reason to postpone the game.
  3. The league will attempt to fill any gaps in the schedule at the gym by moving the first or last game of the day into that gym slot if the postponement is communicated to the league before 8pm on Tuesday for Friday games, 8pm on Wednesday for Saturday and Sunday games.  Please note that if the gap is in the middle of the day for a gym with a large amount of games, we will most likely not fill the gap as we don't want to reschedule a game by 5 hours with only 2 days notice.
  4. Coaches can optionally subscribe to receive this notifications by SMS text by editing their account.  Some games are getting cancelled at the last minute and the SMS text is a bit more timely.

Rescheduling

  1. The coordinator of the team that postponed the game should get in touch with the coordinator of the opposing team to work out a reschedule (coordinator emails are listed on your Coordinator Portal menu)
  2. Reschedules must be communicated to the league before Wednesday at 8pm for games that upcoming weekend (Tuesday at 8pm for Friday night games)
  3. Games must be rescheduled adjacent to an existing set of games. 
  4. Games can be rescheduled during the week if a time during the weekend does not work out for both teams(Monday and Wednesday nights are preferable) if at least two games are played that evening and must be communicated to the league at least 3 days before the game.

Rosters Are Now Frozen

As of midnight on December 31st, rosters were frozen.  At that time, the following changes were made to the web site:

  1. Liability waiver submissions will no longer create roster entries (for those organizations that had chosen that setting)
  2. Coaches and coordinators will no longer be able to add players to rosters
  3. Coaches will no longer be able to edit rosters (for those organizations that had chose that setting)
  4. Moving forward, only coordinators will be able to make updates to rosters, and ANY additions to the roster must be sent to the league for approval before being made on the web site.  Only special circumstances will be considered.

Coaches - Score Reporting

Just a quick word about score reporting. The coach of the winning team is responsible for reporting the score of the game within 48 hours of the game being played (please note, scores are not reported for 2nd grade games).  Coaches can access score reporting from several places:

  1. There is a Report Scores menu option on the Portals->Coach menu
  2. On your Coach Portal, games that need scores to be reported will be shown in the upper right hand corner of the portal
  3. In the My Team Schedule section of your Coach Portal, you can report scores for games AND correct scores that were entered in error for up to 14 days after the game has been played
  4. You can edit your account and subscribe to Score Reporting Notifications.  You will receive an email during your game with a link to the score reporting form

CPYBL Preseason Tournaments

Registration for the CPYBL Preseason Shootout AND the CPYBL Preseason Athletic Tournament are Now CLOSED. We have a full tournament so please, no more registrations. More information about the schedule, etc ... will be available by the end of the weekend.

For the 10th consecutive year, we will be offering the CPYBL Preseason Shootout on November 16th and 17th in local area gyms for 3rd-6th grade boys and girls teams of all skill levels.  This is a round-robin format (3 games) with no single elimination or bracket play.  Cost is $60 per team + ref fees ($35 per game).  Registration deadline is November 5th.  We are looking for gyms to host this event so if you are interested, please email us and/or add gym time to your availability calendar on our website for that weekend.

In addition, we will also be offering the Amerileagues Preseason Athletic Tournament which is a 3 game guarantee single elimination tournament (2 pool play games followed by single elimination) on November 22nd-24th.  We added this option in 2023 for 3rd-6th grade boys and girls athletic teams only.  We will offer an A and B division for all grades (athletic C teams are welcome to register and play in the B division.  Cost is $60 per team + ref fees ($35 per game).  Registration deadline is November 12th.  All games will be played at Elite Athletic Sports Complex and other area gyms.  More information including schedules can be found on the Ameritourneys web site at:  https://ameritourneys.com/6414/amerileagues-preseason-tournament

Coordinators may sign up their teams when registering them for regular season play.  We also have a registration page (linked pages earlier in this message) for non-CPYBL teams to register (or CPYBL teams whose organization is not handling their preseason tournament registration).  If eligible, teams can play in both tournaments if they'd like.

Here are some reminders about our preseason tournaments:

  1. $60 fee payable to the league includes 3 games
  2. 3rd-6th grade boys and girls
  3. All skill levels for Shootout, only Athletic teams for Preseason Tournament
  4. Games at CPYBL member gyms and Elite Athletic Sports Complex
  5. 3 game round robin for Preseason Shootout, 2 pool play games + single elimination bracket play for CPYBL Preseason Tournament
  6. 2-20 minute running clock halves (this is 12 more minutes of playing time this year for round-robin participants due to the full fare ref fees this year)
  7. Deadline to register is November 5th for Preseason Shootout and November 12th for CPYBL Preseason Athletic Tournament
  8. We are looking for gym time to host the Preseason Shootout.  This is a great opportunity to raise money for your program by charging a gate fee (per league guidelines) and/or sell concessions.  Please contact us if you'd like to host games and/or add time to your gym availability calendar on our website for that weekend.
  9. Organizations registering and paying for teams can be invoiced by check OR they can pay online at our Square site (payment info available on tournament pages).  Individual teams must pay online.

Waiver-Roster Matching

This information has been sent to coaches and coordinators many times and is on portals but there is still a lack of understanding. In order for a child to play in our league, the coach OR coordinator needs to submit a roster with the child's name on it (this can happen in many number of ways that coordinators are familiar with). The parent or guardian MUST fill out a Liability Waiver and the child cannot play without a waiver. The web site automatically attempts to match the waiver to a roster entry to help coaches and coordinators determine who is eligible to play. We match on organization, player last name, and birth date. We have received many emails asking why our system "doesn't show a waiver being completed when it has". We are not saying the waiver doesn't exist, we are saying the information is different between the waiver and the roster. 99% of the time, the problem is that the birth date OR player last name is different between the waiver and the roster. Coaches (who have edit privileges) AND coordinators can quickly rectify this situation by updating their roster to match the waiver or if the parent filled out a waiver with an incorrect birth date or spelling of their child's last name, they need to submit a new waiver.  Coordinators and coaches, PLEASE DON'T ASK YOUR PARENTS TO FILL OUT A NEW WAIVER UNTIL YOU HAVE CHECKED INTO WHY YOU DON'T THINK YOU HAVE IT.  Thank you.

Season Schedules Now Available

The full season schedule is now available (11/27 8:30am). These schedules were reviewed and approved by the coordinators from each organization and feedback was provided to the league before the schedule was finalized. Thank you to all coordinators for their feedback, almost all of which was incorporated into the schedule.  Notes about specific divisions (crossover games, etc ...) can be found on the top of the Standings page.

Schedules can be found in a variety of formats from the Standings (click on a team to see schedule), Schedule menu (by Team, by Date, by Gym). If you are a coach, you can also view a pre-filtered version of the schedule which only shows your team from your Coach Portal. Others who created an account on the web site and subscribed to a team or teams, can view those schedules on their Subscriber Portal.

It is important to note that now that the schedule is live, making changes to it will be very difficult.  Changes to the schedule will only be granted for a small list of reasons (error made by the league that double-books a team or gym slot, illness, mandatory school event, gym closure, and inclement weather).

A reminder that teams are not eligible to play until their coach has filled out an online Code of Conduct form and all players have a signed liability waiver as submitted on our web site by a parent or guardian.

Coach Accounts

If you are a coach and have a question about your account, PLEASE go to the Coach page and try to do some investigation yourself before emailing the league. Please note that coach accounts are not created until teams are approved (a few days after registration closes!)  If you have a coach account from last year, it won't be tied to your new team, again, until after registration closes.  Only head coaches are granted coach accounts and it is based on the email address assigned to your team by your coordinator. Also, several of you are asking why you can't find the Coach Portal.  The Portals menu at the top of the web site does not show up unless you are logged into your account with coach or coordinator level privileges.  Makes sense right?  We don't expose menu options to just anybody, you need to be logged into your account that has those options first.  Thanks!

A quick word on Coach Code of Conduct.  This is a requirement for HEAD COACHES only.  If you are an assistant coach, you are NOT granted an account and DON'T need to fill out an online code of conduct form.  Coaches, once you login to your coach account, the online code of conduct form is available from the Coach option on the Portals menu.

Please read the following information from the Ohio Department of Health regarding Lindsay's Law which addresses Sudden Cardiac Arrest in youth athletes.  The law went into effect on August 1, 2017.  CPYBL sent an email to all of our member organizations in August to provide guidance regarding how this should be implemented for our member coaches, athletes, and parents.  You can read more about Lindsay's Law on the Ohio Department of Health web site:   READ ABOUT LINDSAY'S LAW

All Tournament Brackets Now Available

Please note that teams were assigned to brackets and seeded based on regular season results as of 12pm on February 5th for the 7th-12th grade tournament and 12pm on February 12th for the 3rd-6th grade tournament. While record is the primary driver of seeding, other factors are taken into consideration including forfeit wins/losses, head-to-head, strength of schedule, as well as trying to avoid first round matchups between teams from the same organization (sometimes this is unavoidable.  Due to larger rec brackets this year, lower seeds will play opening round games on Friday.  We tried to reduce travel as much as possible, but this is a city wide tournament and we had very few sites available that were centrally located. Please note that teams that did not have jersey numbers on their roster as of February 5th per previous communication to your coordinators and the note on the front page of the web site were not included and neither were teams that forfeited two or more games for reasons other than illness or injury.  Best of luck to all teams in the tournament next week!

TOURNEY INFO

  1. This is a single elimination tournament
  2. 1st and 2nd place teams will receive individual player medals
  3. Teams were assigned to brackets and seeded based on regular season record as of 12pm on February 5th (for the 7th-12th grade tournament) and 12pm on February 12th for the 3rd-6th grade tournament). The main factor in seeding is record, but we also use point differential, head-to-head (if applicable), and a strength of schedule calculation to help. Also please note that team records have changed since we seeded teams based on scores that were reported after the seeding.  Nothing we can do about that.  This is a 1200 team tournament and we have to get started at some point.  Also, please note that we do not take into account forfeit wins or losses when seeding teams even though forfeit wins and losses are shown in their record.
  4. Teams are not necessarily playing in the same bracket they did during the regular season.  Athletic divisions were split across more brackets than existed during the regular season.  Low-performing high-rec teams may have been moved down to rec brackets and visa versa.  In other words, we did the best we could to place teams into brackets where they could be competitive.  Recreational teams are combined into a large city-wide pool and then split into brackets based on record so if you are 1-8, chances are, most of the teams in your tournament bracket have a similar record.
  5. We are a big league and that means that teams will be traveling all over the city for the tournament.  We tried to minimize travel on Thursday and Friday but that is not always possible.  Athletic and high-rec teams are used to this during the regular season, but in order to make the most competitive and balanced tournament possible for recreational teams, this means travel.  We hope the amount of travel is offset by a lot of very competitive and exciting tournament games for recreational teams that have had varied levels of success during the regular season.

TOURNAMENT GAME HOSTS

  1. Admission is the same as during regular season
  2. Admission may be charged once per day per person per site
  3. You MUST provide a gym monitor (providing a clock operator is a nice touch but if not, a parent from the home team needs to run the clock)
  4. Please have someone available to hand out medals after championship games
  5. Medals must be picked up the week of the tournament.  Time and location TBD.  All tournament hosts will be emailed this information in the next few days.

COACHES

  1. Please behave in a manner becoming of a youth leader
  2. Teams are responsible for paying referees the same as during the regular season
  3. Any use of non-rostered players will result in your team's dismissal from the tournament.  Please verify your on-line roster is correct.  No excuses.  This should have been completed in early December.
  4. Please adhere to playing time requirements.  Teams found to be in violation of the requirement, will be dismissed from the tournament.  Please follow protocol as laid out in the Rules document to report playing time issues to the league.  Protests will not be heard if protocol is not followed.
  5. Winning coach should report game score immediately following game
  6. Coaches and parents that approach referees after the game (for any reason) will be subject to discipline per our rules document that will be applied next season.  DON'T DO IT!  Many coaches, players, and parents are under the impression (based on emails we receive throughout the season), that we don't hold referees accountable for their actions.  Please know that we regularly review referee performance and have suspended and even removed referees from the league during the regular season.  Everyone is responsible for their own behavior.
  7. If you coach multiple teams, you will need to have your assistants help you during the tournament.  This is something we have stated to your coordinators from day one this season.  We are simply not able to work around multiple team conflicts like we were during the regular season as the tournament is crunched into such a small period of time with many inter-dependencies.  We had over 80 coaches this year that coached multiple teams.

FANS

  1. This is youth basketball, please behave in an appropriate manner.  We have had a large increase in issues this year with fan behavior.
  2. Cheer on your kids and be respectful of coaches and referees.
  3. Fans that violate codes of conduct during the tournament will be subject to penalties at the start of next season!

The winning coach should log the game score as soon as possible after the completion of their game. Some tournament sites may offer to log the score for coaches which is nice.  When a game score is submitted, it will auto-advance the winning team on the bracket/schedule.  Please pay close attention as to who is the home and away team on the score reporting form. Champions and runners-up in each bracket will receive medals which gym supervisors will hand out at the end of the championship game. Please note that these are for players only!  10 medals will be available per team.  If you have more than 10 players, please contact the league and we will get them to you the following week.

    Inclement Weather Information

    Please read the following information about the CPYBL inclement weather policy and procedures. Gyms used for league games are operated by our member organizations and 3rd party operators. They make the decision to close their gyms and the league in turns communicates those closings to our teams and referees. In the case of an extraordinary weather event, the league may choose to cancel all games. As always, every person/family is in charge of their own safety. If you feel uncomfortable driving, then don't.

    Coordinators, if you plan on cancelling games at your facility, we ask that you do so at least 90 minutes before tip-off (if possible) to give everyone (players, parents, coaches, and referees) adequate lead time. You can cancel games at your gyms by emailing, text messaging or calling Doug or Ben if you would like the league to cancel the game. Games at third party locations such as Elite Athletics would be cancelled by that third party location who in turn notifies the league. If you have games scheduled at one of these facilities, please note that they do not often shutdown their facility.

    The first important piece of information to remember is that our member organizations make the decisions regarding whether or not games will be played at their gymnasiums. This is not a league decision, it is a member organization decision with the exception of some very rare cases (think blizzard) which we hopefully won't have this year! We have provided tools to organization coordinators as well as to coaches, players, and their families to help speed up the decision making and notification process so that everyone can be made aware of a game postponement as early as possible and can plan the rest of their day and not find out a game is being cancelled while they are driving to the game. Please note that the term "postponed" indicates that the game will not be played at the current time and location listed for that game but that it may be rescheduled for a future date. If a game is marked as "cancelled", that indicates that the game will not be played and will not be rescheduled.

    As a coach or family member of a player, you can find out about a game postponement or cancellation in the following ways:

    1. Create an account on our web site and subscribe to game status change notifications. An account can be created by clicking on the Register link above our logo. When registering for an account, you can choose to subscribe to a team or teams and also choose to receive certain types of notifications about that team. When a game is postponed, cancelled, or the location or time of the game is changed, you will receive either a text message or an email based on your settings. Text messages are almost instantaneous after the change has been made while emails can lag a bit depending on your service provider. If you signup for a text message notification, make sure you include your cell phone number (include area code) when filling out your account information
    2. Go to our web site. When a gym is closed for the entire day, a message will appear on the front page of the web site indicating that the gym is closed. If you are scheduled to play a game at that gym that day, you will then know that the game has been postponed
    3. Follow us on Twitter @cpybl . If there is a very large snow event, we will tweet out individual gym closings AND would certainly tweet if all games are cancelled across the league due to inclement weather.
    4. Look at your team schedule on our web site.. If an organization closes a gym for an entire day via our web site, this will automatically set the status of all games scheduled at that gym to "postponed". If only a handful of games are postponed on a given day, then your schedule won't be updated in real time but might lag a few hours as we manually update game statuses.
